• Authentication tokens (JSON Web Tokens, including access tokens and refresh tokens) issued by TruVideo’s authentication service to maintain your authenticated session.

• User profile data including user name and email address associated with your TruVideo account.
• Sub-account and organizational information including business name, business hours, holidays, and roles or permissions assigned to your account.
• Active profile selection for users with access to multiple sub-accounts.

3.3 Appointment and Operational Data

The Extension polls TruVideo’s Engine API on a regular interval to retrieve appointment information related to your dealership’s AI virtual agent activity. This data may include:

• Caller identifier (callerId)
• Customer name (fullName)
• Customer vehicle information
• Appointment reason
• Appointment date and time
• Transportation options and transport identifier
• Vehicle information

This appointment data may include personal information of dealership customers (e.g., names, contact identifiers, vehicle information). The Extension processes this information solely on behalf of the dealership for the purpose of displaying appointment information to authorized dealership personnel within their existing CDK/ADP workflows.

3.4 Site Interaction Data

When installed, the Extension activates only on the following CDK and ADP dealership platform domains:

On these domains, the Extension injects user interface elements (navigation items and embedded views) to display AIVA appointment information and Service Marketing tools. The Extension does not monitor, track, or collect data from any other websites or your general browsing activity outside these specific domains.

4. How We Use Information

TruVideo uses the information collected by the Extension solely for the following purposes:

• Authentication and access control: to authenticate users and maintain authenticated sessions with TruVideo services.
• Appointment delivery: to retrieve and display AIVA appointment information to authorized dealership personnel within their CDK/ADP workflows.
• Notifications: to generate desktop notifications when new appointments are detected, allowing dealership personnel to respond promptly.
• Functionality and integration: to inject the AIVA and Service Marketing user interface elements into supported CDK/ADP platforms.
• Service operation and security: to operate, maintain, secure, and improve the Extension and the underlying TruVideo services.

We do not use information collected by the Extension for advertising, behavioral profiling, or any purpose unrelated to providing the Extension’s functionality.

5. How We Store Information

Information collected by the Extension is stored in the following locations:

• Locally on your device: Authentication tokens, your login email, your active profile selection, your retrieved appointment list, and your profile information are stored in Chrome’s local extension storage on your device. This data remains on your device until you log out, uninstall the Extension, or clear your browser data.
• On TruVideo’s servers: Underlying account information, appointment data, and authentication records are stored on TruVideo’s production infrastructure hosted on Amazon Web Services (AWS) in the United States. This data is protected by encryption in transit (TLS 1.2 or higher) and at rest (AES-256).

Data retention: Information is retained in accordance with TruVideo’s Data Management Policy and applicable contractual obligations with our dealership customers. You may request deletion of your data by contacting security@truvideo.com.

6. How We Share Information

TruVideo does not sell your personal information. We share information only as described below:

• Within TruVideo services: The Extension communicates with TruVideo’s authentication, AI engine, virtual agent, interaction tracking, and service marketing systems to deliver Extension functionality. All of these are operated by TruVideo.
• With dealerships: Appointment information processed by the Extension is shared with the authorized dealership personnel for whom the data is intended, as part of the dealership’s use of TruVideo services.
• With service providers: We use Amazon Web Services (AWS) for cloud infrastructure. AWS processes information on our behalf under contractual obligations consistent with this Privacy Policy and applicable data protection requirements.
• When required by law: We may disclose information if required by law, legal process, or government request, or to protect the rights, property, or safety of TruVideo, our users, or others.
• Business transfers: If TruVideo is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to the protections of this Privacy Policy.

The Extension does not embed or transmit data to advertising networks, analytics services unrelated to Extension functionality, or any other third parties not described above.

• Limited purpose: We only use data obtained through the Extension to provide or improve the user-facing features of the AIVA Chrome Extension. We do not use this data for any unrelated purpose.
• No transfer for unrelated purposes: We do not transfer data obtained through the Extension to third parties for purposes other than providing or improving the Extension’s features, except as required by law, in connection with a merger or acquisition, or with the user’s explicit consent.
• No advertising or unrelated use: We do not use or transfer data obtained through the Extension for serving advertisements, including personalized, retargeted, or interest-based advertising, and we do not allow humans to read this data unless we have obtained the user’s affirmative agreement, it is necessary for security purposes (such as investigating abuse), to comply with applicable law, or for internal operations where the data has been aggregated and anonymized.

TruVideo implements administrative, technical, and physical security measures designed to protect information collected by the Extension. These include:

• Encryption of data in transit using TLS 1.2 or higher
• Encryption of data at rest using AES-256
• Multi-factor authentication for privileged access to TruVideo systems
